Paper logs and scattered spreadsheets let safety checks slip. When an inspector skips a step or a clipboard goes missing, you find out at the audit, and there is no way to prove what was or wasn't checked.

Inspections become records rather than paperwork. Every check is time-stamped, photographed and attached to the asset it was carried out on, so when an auditor asks for evidence you can produce it from the item profile instead of hunting through a filing cabinet.

A facility manager runs a fire safety audit from their phone, photographing each extinguisher and logging pass or fail as they go. The completed inspection attaches to the asset record in itemit and a PDF report is ready for the compliance team before they have left the building.

The people who need to know an asset has moved are rarely the people sitting in the asset system. Booking changes and check-outs go unnoticed until somebody walks to the store cupboard and finds it empty.

Every repair is recorded against the asset with its cost, reason and receipt. Running totals build automatically, and the workspace report turns them into a figure per item and a total across the register.

A fleet manager logs a £650 gearbox repair under Wear & Tear on a delivery van and attaches the invoice. The van's lifetime repair total moves to £4,200, and the workspace report shows it sitting near the top of the spend list ahead of the replacement review.

The asset register the operations team maintains and the fixed asset register the finance team maintains are built from different data at different times. Reconciling them is a manual exercise before every year end, and the two are out of step again within weeks.

Assets reach Xero without being retyped, and the accounting figures come back to the item, so whoever is looking at a piece of equipment can see both what it is and what the books say about it.

A finance manager syncs a newly purchased forklift from itemit into Xero. It appears as a draft fixed asset with the right purchase price and serial number, and once the accountant registers it, the forklift's profile in itemit shows its book value and remaining asset life.

Service intervals get set by date because usage data is awkward to collect. Equipment that is barely touched is serviced on schedule, while the hardest-worked assets in the fleet run well past the point somebody should have looked at them.

Maintenance follows actual use. Checkout hours accumulate on their own, the reminder appears when the threshold is reached, and the usage card shows how close anything is to its next service without anyone tallying it up by hand.

A plant hire depot sets a 250-hour rule across its generators. One unit reaches 250 hours of checkouts in six weeks and another takes seven months. Both raise a service reminder at the right point, and the depot resets each cycle once the work has been logged.

Conversations about assets scatter across email, WhatsApp and hallway exchanges. By the time somebody needs to know why a machine was pulled from service, the reasoning is in a thread nobody can find and half the people involved have left.

Asset conversations happen next to the assets, with mentions linking messages to specific items. New colleagues can read back through the channel instead of asking the same questions again.

An engineer posts in the workspace channel that a laser level is reading badly, mentions the item so the message links to its record, and mentions the workshop lead. The lead replies in the thread with the recalibration date, and the exchange stays attached to the asset.
